WhatsApp bookkeeping

Bookkeeping on WhatsApp — with proof for every entry

Record sales and expenses through WhatsApp messages and voice notes. Accountio turns chat into audit-ready books with proof saved — in Urdu, English, or Hinglish. Built for shopkeepers, freelancers, and traders who already run business from their phone.

What it means

Conversational capture — not a WhatsApp Business ERP

Accountio meets you on WhatsApp for day-to-day bookkeeping. It is not marketed as a full WhatsApp Business ERP, inventory system, POS, or payroll platform.

WhatsApp bookkeeping here means capturing transactions through the channel you already use: conversational messages, voice notes, and supported receipt photos where OCR is available on your plan. Accountio structures that input into your books — with categories, summaries, and exports — without asking you to learn a separate accounting interface first.

You still open the Accountio app to manage your account, review summaries, and export for your CA. The difference is how entries get in: you talk to your ledger on WhatsApp instead of rebuilding the same numbers in a spreadsheet at night.

How it works

From message to categorized record

A simple workflow — no backend jargon required.

  1. Step 1

Send a message, voice note, or photo

Capture a sale or expense the moment it happens — on WhatsApp, in the language you already use at the shop counter or on the road.

  2. Step 2

    Accountio structures the transaction

Plain-language input becomes a structured ledger entry — without tabs, formulas, or a separate data-entry screen.

  3. Step 3

    Entries are categorized

Accountio sorts each line into the right category so your books stay organized as volume grows.

  4. Step 4

    Proof is retained

The original message, voice note, or supported receipt input stays linked to the entry. Changes are logged.

Input types

Capture the way you already work

WhatsApp chat, voice, photos, and multilingual input — grounded in what Accountio supports today.

  • WhatsApp chat

Text a sale, expense, or transfer the way you already message suppliers and customers.

  • Voice notes

Say it in Urdu, English, Roman Urdu, or Hinglish. Pro includes voice note parsing; chat capture works on Personal too.

  • Receipt photos (where supported)

Snap a receipt when OCR is available on your plan — Personal includes an OCR trial; Pro includes daily OCR scans.

  • 12+ input languages

Speak or type in the languages your business runs on. This refers to transaction input — not full UI localization.

Structured books

Conversational capture and auto categorization

Talk on WhatsApp. Accountio handles the books — no accounting degree needed.

Send a message, voice note, or photo. Accountio logs it in your books — with proof saved. Tell a sale in Urdu or Hinglish and it lands in your ledger with the audio attached on supported plans. You do not need to worry about categories upfront — Accountio sorts each entry into the right place as part of the conversational workflow.

The same job as Excel and older apps — without the hassle that makes you skip logging sales. One WhatsApp chat replaces tabs, formulas, and late-night fixes in a spreadsheet when you are tired and the day is already over. For the AI assistant layer behind capture, see AI bookkeeping on WhatsApp.

Proof for every entry

See exactly where each number came from

Every sale or expense links back to the message or voice note you sent — so you and your CA can trust the books.

Tap a line in your books and see the original voice note or chat message. That traceability is the point: formal accounting should not require a formal accounting degree, but it should still be defensible when your CA asks where a number came from.

Accountio helps you keep audit-ready books with source context attached. It does not replace professional review for tax filings, regulatory submissions, or material financial decisions.

Reports

Weekly on Personal, daily on Pro

Reporting cadence follows your plan — see pricing for current limits.

Personal includes weekly summary and reporting — enough for individuals and light-volume operators who want a regular pulse on cash in and out without paying for Pro.

Pro adds daily summary and reporting, higher transaction limits, voice note parsing, more PDF statements, and additional OCR scans per day. Upgrade when your volume and review rhythm need a faster cadence.

Compare plans and regional Pro pricing on the pricing page — amounts are shown in PKR or USD by region, not in this page metadata.

Export

Hand off structured books to your CA

Download in one tap when your accountant asks.

Need Excel, Tally, or a PDF for your CA? Pick a format and export from Accountio. Your accountant reviews structured books you captured on WhatsApp — not a pile of chat screenshots and memory.

This is an export handoff workflow, not migration or live synchronization with Tally or Excel. Accountio does not import your legacy Tally company or sync bidirectionally with external accounting packages unless explicitly described elsewhere in product documentation. See Excel and Tally export for your CA for the dedicated handoff workflow.

Who it's for

Built for operators who work from their phone

Pakistani small businesses — not enterprise ERP buyers.

  • Pakistani small businesses and SMEs
  • Shopkeepers who log sales from the counter
  • Freelancers and service providers
  • Traders and import/export operators
  • Anyone who already runs operations from their phone

Accountio is for people who build the informal economy — shopkeepers, freelancers, and traders — not for teams shopping for payroll, inventory, POS, or full ERP suites. Bookkeeping for shopkeepers and accounting software for Pakistan cover adjacent workflows in more detail. Read our story or browse practical guides on the blog.

FAQ

WhatsApp bookkeeping questions

Grounded answers about capture, proof, exports, and plans.

Do I need to install a separate accounting app?

Your day-to-day bookkeeping happens through WhatsApp — send a message, voice note, or supported receipt photo and Accountio structures it in your books. You open the Accountio app at app.accountio.ai to manage your account, view summaries, and export when needed. There is no separate desktop accounting package to learn.

Can I send voice notes in Urdu or Hinglish?

Yes. Accountio is built for how Pakistani operators actually talk — Urdu, English, Roman Urdu, and Hinglish. Pro includes voice note parsing; on Personal you can still capture transactions through WhatsApp chat.

Does every entry keep proof of what I sent?

Every sale or expense can link back to the message, voice note, or input you sent. Tap a line in your books to see the original source. Your records are saved safely, and any change is logged.

Can I export for my CA in Excel or Tally?

Yes. When your accountant asks, pick a format and export — Excel, Tally, or PDF are supported in the product. Accountio hands off structured books; it does not migrate or sync data into Tally on your behalf.

Is Personal really free? What are the limits?

Personal is free forever. It includes WhatsApp chat, 120 transactions per month, weekly summary and reporting, OCR free for a 7-day trial, single-user access, 50 general queries per month, and 2 PDF statements per month. See the full plan comparison on the pricing page for current limits and Pro upgrades.

Is Accountio a tax filing or FBR tool?

No. Accountio is a conversational bookkeeping assistant — it helps you record sales and expenses and keep audit-ready books. It is not a tax filing service and does not submit FBR returns or GST filings on your behalf.

Is Accountio a licensed accountant?

No. Accountio AI is a bookkeeping assistant, not a licensed accountant, tax advisor, or financial advisor. AI-generated entries and summaries may be incomplete or inaccurate. You are responsible for reviewing all output before relying on it for tax, regulatory, or business decisions, as described in our Terms & Conditions.

What languages are supported?

You can send transactions in Urdu, English, Roman Urdu, and Hinglish — the languages shopkeepers and freelancers already use on WhatsApp. Accountio also supports 12+ input languages for the messages and voice notes you send. The Accountio website and app interface are primarily in English and Roman Urdu; this is not a claim that the entire product UI is localized into every input language.
