How to Sanity-Check Your Existing Excel Books Before Switching Tools

Before you change how you capture transactions, review the Excel books you already have. A short sanity check catches gaps, duplicates, and balance issues — without pretending a spreadsheet audit is tax filing.

A quick sanity check before you change tools answers one question: are we starting from a clean enough baseline, or are we about to copy old mistakes into a new system?

Why check Excel books before you switch

New tools do not fix missing months, duplicate rows, or opening balances that never matched the till. If you move to conversational capture while old errors sit unresolved, you will argue about which system is wrong — when the real problem was the baseline.

The 15-minute manual checklist

Open your most recent Excel file and run through these checks:

  1. Date continuity — any gaps in daily or weekly entries for the last three months?
  2. Duplicate rows — same amount, same date, same description twice?
  3. Opening balance — does the first row of this month match last month's closing?
  4. Cash vs bank — are transfers between cash and account recorded on both sides?
  5. Negative inventory or impossible totals — formulas pointing at deleted cells?
  6. Personal expenses — obvious personal items mixed into business tabs?
  7. Uncategorized lines — large amounts sitting in "misc" without notes?

Write down what you find. You do not need to fix everything before switching — but you should know what you are carrying forward.

Red flags worth fixing before you switch

  • Closing cash balance does not match physical cash in the till
  • More than a week of missing sales in a busy month
  • Same supplier payment recorded twice
  • Opening balance for the year does not match last year's CA closing
  • Formulas broken after someone deleted rows (common in shared sheets)

Fix these with your CA if material. Switching capture tools mid-year is fine — switching with unknown errors is not.

Parallel running: the safe transition

  4. Keep the old file read-only for reference for one cycle

Prepare your CA for the switch

Send a short note before month-end:

  • Date you stopped primary entry in the old Excel file
  • Date you started the new capture workflow
  • Closing balance from the old file
  • Export format you will use going forward (Excel, Tally-format, or PDF)
  • Any known issues you are still resolving

Your CA may ask for both files for one transition month. That is normal.
